To be valued throughout the community as a non-profit Jeep club that is accountable for our actions, respondent to our community and members’ needs, assisting our community, and do this with honor.

Mission

To support and help our communities, while bestowing the highest level of integrity and passion possible; and to assist and exchange information amongst members to develop a better understanding of Jeep vehicles.

Build Trust and Credibility

The success of our club is dependent on the trust and confidence we earn from our members, community, and public office employees. We gain credibility by adhering to our commitments, displaying honesty and integrity and reaching our club goals solely through honorable conduct. It is easy to say what we must do, but the proof is in our actions. Ultimately, we will be judged on what we do.

When considering any action, it is wise to ask: will this build trust and credibility for A.R.C.H. Jeeps?
Will it help create a membership environment in which A.R.C.H. Jeeps can succeed over the long term?
Is the commitment I am making one I can follow through with?

The only way we will maximize trust and credibility is by answering “yes” to these questions and by working every day to build our trust and credibility.

Respect for the Individual

We all deserve to enjoy an environment where we are treated with dignity and respect. A.R.C.H Jeeps is committed to creating such an environment because it brings out the full potential in each of us, which, in turn, contributes directly to our club success. We cannot afford to let anyone’s talents go to waste.

A.R.C.H. Jeeps is an equal opportunity/affirmative action club and is committed to providing an environment that is free from any type of harassment, discrimination, hostility, or offensive behavior. Any member who feels that they are being subjected to such behavior should report the incident to a board member immediately.

Create a Culture of Open and Honest Communication

At A.R.C.H. Jeeps everyone should feel comfortable to speak his or her mind, particularly with respect to ethics concerns. The Board of Directors have a responsibility to create an atmosphere that supports open communication, and we welcome all questions and feedback.

A.R.C.H. Jeeps will investigate all reported instances of questionable or unethical behavior. In every instance where improper behavior is found to have occurred, the company will take appropriate action. We will not tolerate retaliation, of any kind, against members who raise ethics concerns in good faith.

For your information, A.R.C.H. Jeeps’ whistleblower policy is under section 14.04 of the bylaws.

Members are encouraged, in the first instance, to address such issues with any board of director, as most problems can be resolved swiftly. If for any reason, that is not possible, or if a member is not comfortable speaking the board of directors, A.R.C.H. Jeeps’ Jennifer Tillinghast does operate with an open-door policy.

Set Tone at the Top

To make our Code work, leaders must be responsible for promptly addressing ethical questions or concerns raised by members and for taking the appropriate steps to deal with such issues. Leaders should not consider members’ ethics concerns as threats or challenges to their authority, but rather as another encouraged form of club communication. At A.R.C.H. Jeeps, we want the ethics dialogue to become a natural part of daily environment.

Uphold the Law

A.R.C.H. Jeeps’ commitment to integrity begins with complying with laws, rules and regulations where we enjoy our club. Furthermore, each of us must have an understanding of the club’s policies, laws, rules and regulations that apply to our specific roles. If we are unsure of whether a contemplated action is permitted by law or A.R.C.H. Jeeps policy, we should seek the advice from a resource expert. We are responsible for preventing violations of law and for speaking up if we see possible violations.

Competition

We are dedicated to ethical, fair and vigorous competition. We will sell A.R.C.H. Jeeps logo-ed products based on their merit, superior quality, and competitive pricing. We will make independent pricing and marketing decisions and will not improperly cooperate or coordinate our activities with our competitors. We will not offer or solicit improper payments or gratuities in connection with the purchase of goods or services for A.R.C.H. Jeeps or the sales of its products or services, nor will we engage or assist in unlawful boycotts of particular customers.

Accountability

Each of us is responsible for knowing and adhering to the values and standards set forth in this Code and for raising questions if we are uncertain about club policy. If we are concerned whether the standards are being met or are aware of violations of the Code, we must contact a member of the Board of Directors.

At A.R.C.H. Jeeps, we must have the courage to tackle the tough decisions and make difficult choices, secure in the knowledge that A.R.C.H Jeeps is committed to doing the right thing. At times this will mean doing more than simply what the law requires.

Although A.R.C.H. Jeeps guiding principles cannot address every issue or provide answers to every dilemma, they can define the spirit in which we the club is intended and should guide us in our daily conduct.

A.R.C.H. Jeeps takes the standards set forth in the Code very seriously, and violators are cause for disciplinary action, up to and including termination of membership.

Respondent

We strive to be respondent to the needs of the community and to each other. We look to our members and community leaders for guidance and to address any assistance that A.R.C.H. Jeeps can provide. That being said, the Board of Directors and Officers will respond to requests and inquiries in a timely manner. In return, we ask that members inform the Board immediately, if a member responds to a need or situation that they see or hear about.

Community

A.R C. H. Jeep’s number one outlook is Community. Without the Community A.R.C.H. Jeeps. wouldn’t have even been a thought. We need to always be aware of the on goings within our communities. There are things that we can do to help the communities in which we live doesn’t just revolve around Board of Directors or Officers. We look towards our members to help in keeping the Club informed of things that we need to be involved with. Please understand that we are always available to share ideas on community events that the Club can put together or help in. If a member of A.R.C.H. Jeeps does a good community deed on their own the Board would like to hear about it. This Club is about Community and family make sure we always have that in mind.

Honor

In everything that we do, we must do so with honor. We should be honest and truthful in our dealings within and outside A.R.C.H. Jeeps. We encourage new ideas from our members. It is the quality that empowers us to exemplify the ultimate in ethical and moral behavior.

We should abide by an uncompromising code of integrity and have respect and concern for each other. It represents the maturity, dedication, trust, and dependability that commit A.R.C.H. Jeeps to act responsibly, be accountable for their actions, fulfill their obligations, and hold others accountable for their actions.

Use of Club Resources

Club resources, including time, material, equipment and information, are provided for club business use. Nonetheless, occasional personal use is permissible as long as it is approved and does not affect membership performance or cause a disruption to the club.

Media Inquiries

A.R.C.H. Jeeps is going to be a high-profile club in our community, and from time to time, members may be approached by reporters and other members of the media. In order to ensure that we speak with one voice and provide accurate information about the club, we should direct all media inquiries to Lisa Uviedo. No one may respond to media inquiries without first consulting with Lisa Uviedo.

Do the Right Thing

Several key questions can help identify situations that may be unethical, inappropriate or illegal. Ask yourself:

Do my actions comply with the A.R.C.H. Jeeps guiding principles, Code of Conduct and club policies?
Have I been asked to misrepresent information or deviate from normal procedure?
Would I feel comfortable explaining my decision at a club meeting?
How would it look if it made the headlines?
Am I being loyal to my family, my club and myself?
Is this the right thing to do?

Doing business

All Club business must be discussed and voted on by the Board of Directors.
All collaboration with any other non-profit organization or other jeep group must be approved by the Board of Directors.

Membership Dues

Regular Membership: $100/year
Associate Membership: $50/year
Membership dues will be prorated based on the month your application is approved.
All yearly dues will be due, no later than, on January 1st of each year.
If paying dues quarterly the dues will be due, no later than, the 1st of January, April, July, and October.
All Membership dues are non-refundable.

Scheduled Events and Functions

Members must participate in one community scheduled event a quarter.
Members must attend one club monthly meeting a quarter.
Absolutely no use or possession of illegal drugs will be allowed at any club event, function, or at the clubhouse.
All codes of conduct and bylaws also apply to any passenger or non-member guest. Club members will be held responsible for any and all passengers or guests that accompany them to an event and function.
Members must be accountable and honorable at all club events and functions.
If you consume alcoholic beverages during a club event or function do it responsibly and ensure you abide by this Code.
Member is responsible for signing the registry at the event or function.

Banners and Decals

All Regular Members are required to run a windshield banner and side decals.
Windshield banners and side decals are required to be uniform with no deviations to its original format.
Windshield banners and side decals are to be purchased through the Board of Directors and paid for up front.
Associate Members may purchase side decals.
A.R.C.H. Jeep’s logo is trademarked and must not be duplicated.

Other Membership Requirements

All Members are expected to conduct themselves in a manner to bring honor and respect to A.R.C.H. Jeeps at all times (to include their online presence in social media). Any actions by any member deemed detrimental to the organization shall be cause for review for disciplinary actions by the Board of Directors and could result in discipline up to or including suspension or termination from membership of A.R.C.H. Jeeps.
Jeeps in the Club must be kept in accordance with Federal and State laws as well as be environmentally safe.
A.R.C.H. Jeeps is a pet friendly endeavor – aggressive animals will not be permitted.
All pets must be on a leash.
Members shall not do anything that could compromise or hurt our community.
Unruly or disrespectful behavior by club members during club sanctioned events or on the message forum or other social media will not be tolerated, including extreme and constant profanity.
Firearm possession must follow state and local regulations.
Members will not knowingly trespass. While trail riding, if a member ventures on private land or a closed area and an officer of the law issues a citation, arrest or confiscates the vehicle; liability is bore solely by the owner or the person doing the action. Members are to follow rules and regulations of property and/or its owners.
A.R.C.H. Jeeps is not responsible for any actions or opinions of any political or non-political organization that any member is associated with.

Disciplinary Actions

The following are presented as examples of unacceptable actions or conduct, and are not meant to be exhaustive. Indeed, it must be remembered that the Club has the right to terminate the membership relationship at any time, with or without cause, with or without advance notice. Thus, this list does not purport to cover every possible type of situation that may occur or that may give rise to termination. All infractions will be reviewed and voted on by the Board of Directors.

Missing required Club Events and/or Functions;
Being disrespectful to any individual or group;
Membership dues not paid;
Non-honorable behavior;
Trespassing;
Excessive profanity;
Actions that cause a disruption or animosity between any members;
Conviction of a Felony;
DWI or DUI;
Derogatory comments about A.R.C.H. Jeeps, Board of Directors, or any A.R.C.H. Jeeps Member;
Violent acts;
Use or possession of illegal drugs at a club event, function, or clubhouse;
Major infractions will result in immediate termination of membership;
Any other act deemed detrimental to the Club, by the Club

Disciplinary Steps:

First infraction – Verbal warning.

Second infraction – Written warning.

Third infraction – Immediate termination of membership.

Egregious acts deemed detrimental could result in immediate termination of membership.

Board of Directors and Officers specific

Board of Directors and Officers cannot be a member of any other local jeep club.
All monies to be distributed must be approved by the Board of Directors.
All checks must have two signatures by people not in the same family.
Discussions and details on votes cannot be discussed with anyone outside of the Board of Directors and Officers.
Board Members are allowed to miss only one community event/function a quarter.
At least 75% of Board Members must show up to every community event/function.

I understand that the handbook does not create a contract between A.R.C.H. Jeeps and its members, either expressed or implied, and that my membership is at-will. Either A.R.C.H. Jeeps or I may terminate the membership relationship at any time and for any reason that is not unlawful, or for no reason at all, with or without notice. I further understand that modifications may be made to this handbook by A.R.C.H. Jeeps in its sole discretion, with or without prior notice. I also understand that other specific policies, procedures, or protocols with which I also must comply may be communicated to members separately and may not appear in this handbook.

I certify that I will abide by all A.R.C.H. Jeeps policies, procedures, and protocols. I understand that failure to comply with any of these policies, procedures, or protocols could lead to disciplinary action up to and including termination from the club with or without notice.

I hereby acknowledge that I have received a copy of the A.R.C.H. Jeeps handbook. I agree to read, become familiar with its contents, and ask the Board of Directors if I have any questions about the handbook or any other A.R.C.H. Jeeps policies, procedures, or protocols.
